Message from the Chair re: EC Retreat to Iceland

Dear Executive Council,

The time has come! This email serves to share important information regarding the 2026 Executive Council Spring Retreat to Iceland, which is set for March 4-8, 2026. Iceland is such a unique place, with many different terrains within an hour or two of the other. From volcanoes to glaciers, black sand beaches to waterfalls and hot springs, Iceland has something for everyone. A Northern Lights hunt is planned as well! While plenty of adventure is on the agenda, rest assured that this trip is accessible for all of our members, regardless of physical ability. What’s more is that Travel & Leisure ranked Iceland as the safest place to travel this year. I hope you will join us!

To streamline the registration experience, we are implementing a new process that requires your careful attention.

New Registration Process through Essence of Iceland

  • This year, all registrations for the retreat will be handled directly through our dedicated Destination Management Company (DMC), Essence of Iceland. This change aims to provide a more tailored and efficient booking experience for your travel and activities.
  • Please note that initial completion of the registration process through Essence of Iceland does not contain a payment link. Once completed, within 48 hours you will receive a separate link to make payment from Essence of Iceland. That payment link will be valid for only 48 hours from receipt.
  • Registration is open now and will close on October 31, 2025, to allow us to better plan for an accurate number of attendees.
  • All registrants are responsible for booking their own flights. Flights are not included in the cost of registration.

Key Information Regarding Cancellations and Travel Insurance

  • No Section Refunds for Cancellations: The Section will not be able to process or provide refunds for any cancellations related to the retreat. All cancellation policies will be governed by Essence of Iceland and any third-party vendors they utilize. Their cancellation policies are contained on the final page of the registration link. Please review in detail, as you will be bound to their terms without exception.
  • Travel Insurance Highly Recommended for All Attendees: Given this policy and the nature of international travel, we strongly recommend that all registrants secure their own comprehensive travel insurance. To assist you, we have a contact at Allianz who can help you find the best plan to suit your individual needs and budget. Please reach out to Senior Travel Sales Associate, Cynthia D. Loving, or more information. Of course, many of you may opt to use your own credit card company or another travel insurance carrier, which also works.
  • Travel Insurance Mandatory for Comped Attendees: In order to safeguard the Section’s financial position against risk of loss, please note that obtaining travel insurance for any comped attendee is mandatory. If you are a judicial or academic chair entitled to reimbursement of your EC main trip ticket, please purchase trip insurance and include the cost of the same in your request for reimbursement.

Hotel Reservations

  • Once you register for the trip, attendees will be responsible for securing their own hotel accommodations separately. This will provide you with flexibility to choose the type of room that is best for you and tailor to your travel dates. A direct booking link for the designated retreat hotel (Parliament Hotel Iceland) is found below the retreat registration link.

Retreat Overview

  • For a comprehensive overview of the retreat, including itineraries, activities, and more, please review this presentation: EC Retreat PPT Final

We understand this represents a change from previous years, and we are confident it will enhance the overall experience. Please review all the information carefully, and do not hesitate to reach out if you have any questions.
